Contracts Manager
OVERVIEW
As an experienced Contracts Manager you will report to the Head of Contracts and Contracts Director and be a key part of the Ultimate delivery and management team.
You will be able to develop and implement project strategy and delivery programme, ensure effective communication and implementation to deliver the project on time, ensure regular monitoring and reporting on progress, and instigate corrective actions as required.
You should ideally be able to lead the project team on multiple projects, manage the supply chain and to deliver projects safely, on time, within budget and to the highest quality whilst exceeding our clients’ expectations
It is equally as important in this role to manage the operational aspects of the project to achieve the budget, review performance against targets and identify and manage potential risks and opportunities, manage project handover and ensure defect / snag free completion; all whilst leading and motivating the project team and the supply chain to deliver the project.
Prior experience of working with a blue-chip fit out contractor is preferred on fast-track schemes up to £4-5 million value with a high degree of change throughout the pre-construction and contract period.
The ideal candidate will have a professional, pro-active approach. You will be an effective communicator and the role would suit a candidate with an organised and methodical nature who is happy to work individually and as part of the wider project team.
DUTIES & RESPONSIBILITIES
- To be project lead on all site projects to ensure the successful deliver of contracts, to the highest quality, on time, snag free and in safe manner
- Produce detailed construction programmes on Microsoft Project
- To procure all required sub-contract trades / materials supplies / plant / equipment / etc necessary to undertake the successful delivery of the project
- To obtain competitive prices on labour / materials as required
- Identify potential value engineering options including cost implications
- Regular visits to site as required throughout the duration of the project
- Close co-ordination and, where required, coaching of Ultimate Site Managers to ensure the smooth and strong delivery of all projects
- Attendance with weekly progress meetings on site with Ultimate Delivery Partners to regular review progress / quality / health and safety / monitor variations
- Attendance and chairing weekly Progress Meetings with the Client Team.
- Collation / issuing of minutes as formal records as required for any Project Meetings
- Liaising with the Company H&S Advisors as required
- Preparation of Construction Phase Health & Safety Plans / Risk Assessments / Method Statements and monitoring of same throughout the project
- Assisting the Project Co-Ordinator with the compilation and issue of Operation & Maintenance Manuals on handover to Clients
- Management of H&S standards on site in tandem with the Site Management Teams
- Liaison with Ultimate Design Teams to ensure all required project information available for site construction teams
- Liaison with statutory authorities to ensure all works achieve statutory compliance
- Attend and lead project meetings with clients, owners, representatives, colleagues, sub trades, contractors, and other project stakeholders
- Attend contract handover meetings to receive briefing from the Estimating & Sales Teams to understand full extent of the works and the costs agreed for these to be undertaken for, both to the Client and from our delivery partners
- Ensuring that all any works undertaken for Clients have agreed payment terms that are clearly understood from the outset and that our required credit checks are in place
- Ensuring that formal instructions are received from Clients at all times for all required and additional works
- Assisting the Financial Director to ensure invoicing of our works to Clients are in accordance with agreed terms and Client requirements
- Ensuring weekly notification of all cost trackers and variations are issued to Clients along with all associated documentation
- Ensuring the preparation of final accounts with all associated documentation for swift agreement with the Client in a such a way as to maximise profitability and cashflow
- Ensuring that all variations are claimed
- Assisting in managing all subcontractor payments and valuations including variations
- Ensuring all retentions are claimed
- Pricing of repeat / additional works as required
- Knowledge & understanding of our obligations under the terms of the Building Contract.
- Ensuring that the terms and conditions of contractor’s orders are agreed.
- Providing cash flows for each project, updated weekly and copied to the Head of Contracts, Commercial Director and Finance Director
- Developing relationships with clients / supply chain / professional team

PERSONAL ATTRIBUTES & EXPERIENCE
- Have a minimum of 5-10 years continuous and current experience within a similar role
- Main contractor background, ideally with significant experience with design and build fit outs
- Full UK driving licence
- Ability to travel when required throughout the UK to attend site visits, project meetings, etc.
- Working knowledge of JCT Contracts
- Understanding of M&E installations desirable
- Knowledge of Health & Safety procedures
- Ability to manage multiple projects and tasks
- Excellent communication skills – written and verbal
- Be computer literate and fully conversant with MS Word / Excel / Outlook / Powerpoint
- Knowledge of MS Project preferred
- CSCS card holder
- Able to encourage, mentor and coach other members within the Team
